You choose the paper, the printer, the colour, the size. You see a proof. You approve it.

The shipping label is not that. It is generated by your carrier’s software, sized by a standard, printed on a machine that has exactly 2 settings, black and not black, and stuck onto a box by someone in a hurry. Nobody sends you a proof. Nobody asks which version of your logo you would prefer.

And it is, for a large share of online businesses, the very first branded thing a customer physically touches. It arrives before the box is open, before the tissue paper, before the thank you card, and it is the only piece of the delivery that a stranger at a sorting facility also reads.

This article is about designing for that surface. Not about making it pretty, because you mostly cannot, but about knowing which vector version of your mark survives it and which one turns into a grey rectangle. The unboxing experience, the box itself, and the insert are a different subject, already covered in How to Design Branded Packaging That Turns Unboxing Into a Marketing Moment; this piece stays on the label itself, usually 4 inches by 6, laid out by a carrier’s system and produced by a thermal printer.

What actually determines how your logo prints on a shipping label?

1. There is no grey

A direct thermal printer does not deposit ink. It heats a coating, and each dot either turns dark or stays blank. There is no half tone, no tint, no gradient, and no colour of any kind.

This single fact eliminates most logos as they are normally supplied. A mark with a soft shadow becomes a black blob. A mark built on two tones of the same colour becomes one flat shape with the internal distinction gone. A gradient becomes a band. A thin outline set in a light grey disappears entirely.

The version you need is the all black one, the version that renders every element in solid black with no grey tones. If your designer delivered a proper file set you already have it. If you do not have it, that is the request to make, and What Logo Files to Request from Your Designer lists it alongside everything else you should be holding.

There is a useful shortcut here. If your logo has already been prepared for embroidery, it has been through a very similar reduction, and the thinking is described in How to Prepare Your Logo for Embroidery. The constraints are not identical, but a mark that survived one usually survives the other.

2. The label is mostly not yours

On a 4×6 label, the address block, the service indicator, the routing barcode and the carrier’s own marks are not negotiable. They are positioned by the carrier’s system and they exist so that the parcel arrives.

What is left for you is a strip, and its position depends on which shipping platform you use. Sometimes it is a narrow band at the top. Sometimes it is a small block beside the return address. It is never the middle of the label, because the middle is where the address goes.

That constraint should change which version of your logo you supply. A wide horizontal lockup with a tagline underneath will be scaled down until the tagline is unreadable and the whole thing is a centimetre tall. The compact version, the one built to work small, is the correct one here, and it is the same reasoning that applies on any surface where your mark shares space with information it cannot displace.

3. Nothing may touch the barcode

This is the constraint that has real consequences, because getting it wrong does not produce an ugly parcel. It produces a parcel that stops moving.

The barcode needs an empty margin around it. GS1, which maintains the barcode standards used across retail and logistics, calls this margin the Quiet Zone and describes it as a light area around the symbol which must not contain any graphic element that may disrupt reading the barcode. Its width is not decorative. It is defined by the geometry of the symbol itself, and for the two dimensional codes now appearing on labels it runs from 1 to 4 times the width of the narrowest element of the code.

Read that as a design rule and it is simple: your logo does not go near the barcode, and neither does a background tint, a border, a watermark or a decorative rule. Not close to it. Outside its margin.

The second half of the same problem is contrast. GS1’s guidance for two dimensional codes is blunt about it, stating that it is imperative that the printing process ensures that the scanner can discriminate clearly between the dark areas and light areas of the symbol, and that black and white provide the identical contrast under different light sources and are ideal. Every brand colour idea people have for labels dies on that sentence.

Why do carrier placement rules affect where your logo can go?

Canada Post requires shipping labels to sit flat and wrinkle-free on the box’s largest side, never folded over an edge, over a seam, or covered with tape. That rule decides where a logo sticker can go, and pushes branded effort onto a separate seal instead.

A label is not read on a screen. It is stuck to a box, and Canada Post is specific about what that means. Its guidance states that if you are using a shipping label, you should make sure it is visible and affixed flat and wrinkle free to the largest side of the box, and that the label must not wrap around the edges of the box or be applied over a seam or box closure. It also says not to cover the label with strapping or tape.

Three design consequences follow, and they are the ones people miss.

Your logo has to survive being placed on the largest flat panel. That is often not the panel you designed your packaging around. On a long thin box, the largest side is the one nobody looks at first.

The label cannot be folded. If your brand plan involved a label that wraps a corner, or one that doubles as a seal across the flap, it conflicts with a rule that exists so the parcel gets scanned. The seal is a separate sticker, and that sticker is where brand freedom actually lives.

Tape is not an option over the printed area. Direct thermal labels fade with heat and abrasion, which is exactly why people reach for tape, and the guidance says not to. If durability matters for your shipping conditions, the answer is a different label stock, decided with your carrier, not a strip of packing tape over your logo.

There is one more, and it costs businesses real money: Canada Post’s guidance for reused boxes is to remove old labels or cover previous addresses. A box arriving at a customer with a competitor’s label half scraped off the other side is a branding decision you did not make.

VECTORIZATION SERVICE

There is no grey on a thermal printer. Your file needs to already know that.

A gradient, a soft shadow or a two-tone shape does not survive direct thermal printing, it just turns into a black blob. We rebuild logos as clean, solid, single-colour vector files so the one version that has to work everywhere, actually does.

Get your single-colour vector file →

What actually works

After all that, the honest list of what you can do is short, and short is fine.

Supply the single colour version. Solid black, no tones, no gradient, no shadow. One file, correctly prepared, and the problem is permanently solved across every carrier you will ever use.

Use the compact lockup. Not the horizontal one with the tagline. The one that reads at a centimetre tall.

Put the branded effort on a second sticker. A separate seal, applied to the closure rather than the largest panel, is unconstrained. It can be colour, it can be die cut, it can be as large as you want, and it does not interfere with anything the carrier needs. This is the single highest return move available on a parcel, and it costs less than most people assume.

Check the return address block. It is small, it is text, and it is the one part of the label you control completely. Your business name spelled the way it is spelled everywhere else is worth more here than a logo squeezed into 4 millimetres.

How do you get your logo onto a shipping label without breaking carrier rules?

Supply a solid black single-colour file, keep it clear of the barcode’s quiet zone, and never tape over the printed area. Those 3 rules cover almost every carrier restriction you will run into.

Can a shipping label logo use color?

No. Direct thermal printers only produce black marks, so a colour or gradient logo always reduces to a black blob. Supply the single-colour black file instead.

How close can a logo sit to the shipping barcode?

Not inside the quiet zone. GS1 defines that margin as 1 to 4 times the width of the barcode’s narrowest element, and nothing, including your logo, may sit inside it.

Is it safe to tape over a printed shipping label?

No. Canada Post’s guidance says not to cover the label with strapping or tape, since direct thermal print already fades with heat and abrasion; ask your carrier about a more durable label stock instead.

The point

The shipping label is the clearest example of a category most brand work ignores: surfaces where your mark appears without your involvement, produced by someone else’s equipment, under rules written for a purpose that has nothing to do with you.

You cannot design that surface. You can decide which version of your logo shows up on it, and you can make sure that version was drawn for exactly this: one colour, small, and next to something it is not allowed to touch.

That version is a deliverable, not an accident. If nobody ever handed you one, rebuilding it as a proper vector file is the gap to close, and it is worth closing before the next thing that prints your logo without asking.

FAQ

Can I put my logo in colour on a shipping label?

Not on a direct thermal label, which is what most carrier systems print. That process has no colour and no half tones at all: each dot is dark or blank. Colour labels exist on other equipment, but the barcode itself still needs strong dark on light contrast, so colour never goes near it.

How close can my logo get to the barcode?

Outside the Quiet Zone, which is the empty margin the barcode standard requires on all sides. Its width is tied to the size of the code’s narrowest element rather than being a fixed number of millimetres, so the practical rule is to keep every graphic element well clear rather than trying to calculate a minimum.

My logo has a gradient. What happens?

It becomes a band or a blob, depending on how strong the gradient is. Thermal printing cannot render a transition. This is the same reason a single colour version exists in a proper logo file set, and it is the version to supply.

Should I use a branded label instead of the carrier’s label?

The carrier’s label has to be there and has to be scannable. The productive move is to add a separate branded seal on the box closure, which is unconstrained, rather than trying to reclaim space on a label whose layout is not yours.

Can I tape over the label to protect it?

Carrier guidance says not to, because tape interferes with scanning. If your shipping conditions are hard on labels, the answer is a more durable label stock chosen with your carrier, not tape over the printed area.

<script
